1. Background
Due to the level of detail required by the LEDSLAC project and the number of contracts with third parties involved, it has been necessary to have an assistant to prepare financial and operational reports and develop databases and integrated systems. In this way, we expect a reduction in response times and an efficient development of the processes required by the project.
2. Objective of the consultancy
General Objective
In order to better monitor project implementation, it is necessary to hire the services of a consultant to prepare various financial and administrative reports, reporting to the person in charge of project administration and logistics.
3. Activities
- Preparation of monthly financial and operational reports.
- Preparation of periodic technical reports.
- Follow-up to internal and external project meetings
- Preparation of documentation folders to assist in better monitoring of the project.
- Compilation and organization of information to be included in the reports.
- Implementation of physical and digital project documentation system
- Elaboration of policies for the correct maintenance of information.
4. Products
- Prepare 4 monthly financial and operational reports with the progress and results of the annual operational plans, results to be achieved and their respective budgets, in support of the Project Leader. The reports must be delivered physically and digitally.
- Prepare technical reports within the framework of the grant agreements, according to the required schedule and formats. The reports must be delivered physically and digitally.
- Provide a folder with the record of internal and external meetings of the project team, such as minutes of Steering Committee meetings, Donors and other relevant stakeholders.
- Develop a database of thematic specialists and other relevant Project stakeholders.
- Develop an "Integrated Management System", implementing a physical and digital archive system with the documentation related to the Project, preparing the policy that will serve as a guide for the correct maintenance of said archive.
All products will be presented to Aida Figari and approved by the same person.
5. Amount and form of payment
The amount of the consultancy and the method of payment will be defined according to the following table:

Payments will be made within 15 calendar days following the presentation of the product, the receipt of the professional fees issued by the consultant, and the approval of the supervisors.
In the event that there are observations to the reports submitted, the term will be counted as of the lifting of such observations.
Professional profile
The consultant must be a natural person/legal entity and meet the following profile:
- Professional university graduate
- Professional experience in NGOs or projects, preferably in International Collaboration.
Duration of the consultancy
This consultancy will have a duration of 3 months, corresponding to the period from March to June 2021.
Responsibilities of the company or consultant
- Technical approach to the productThe consultant will be responsible for the proper planning, scheduling, conduct and technical quality of each of the deliverables.
- Product qualityThe consultant shall be directly responsible for the quality of the services rendered, as well as for compliance with the schedule, timely achievement of the planned goals and adoption of the necessary provisions for the faithful performance of the contract.
Supervisors
The person in charge of supervising this assistant will be Aida Figari, Project Manager and Maria Fe Gonzales, Administration and Procurement.
Confidentiality
The consultant undertakes to maintain confidentiality and absolute reserve in the handling of information and documentation to which he/she has access related to the service, and it is expressly forbidden to disclose such information to third parties.
This obligation includes information that is delivered, as well as information generated during the performance of the activities and information produced after completion of the service. Such information may consist of maps, drawings, photographs, mosaics, plans, reports, recommendations, documents and other data compiled by the consultant.
